How Hospital IQ handles information
Written for the person who has to sign off on it.
Where information is kept
Hospital IQ is a set of files your browser downloads and then runs on its own. It has no database, no accounts held by us, and no back end of any kind. Everything it remembers is written to your browser's local storage, which belongs to that browser profile on that computer.
Two consequences follow, and both matter more than they first appear:
- Each computer is separate. Work done at a ward workstation is not visible on an office laptop. Two people using the same URL on two machines have two entirely separate sets of data.
- Clearing site data erases the installation. So does reimaging the machine, or a user clearing their browser history with “cookies and site data” selected. There is no copy anywhere else.
What is kept, in four groups
Every item Hospital IQ stores is classified into one of four groups. The classification is not descriptive — the product reads it to decide what to erase when you sign out and what may travel in a backup.
The installation
Your staff roster — names, email addresses, roles and hashed passwords — along with capabilities, learning-path templates, announcements, the attendance record and the administrator audit trail.
A person's progress
Modules completed, quiz results, XP and level, streaks, certificates earned, exam attempts and Retrospective runs.
Work product
What people type into the tools: case files, incident reviews, disclosure drafts, quality-improvement plans, and private notes on modules and cases. This is the group that can contain information about patients and staff.
This machine's settings
Text size, dark mode, contrast, reduced motion, reading font, and which pillar of the Academy you last looked at. Nothing about a person.
Information about patients and staff
Four tools deliberately accept real identifying information, because they are documentation tools rather than exercises. Each says so at the point where you type it in.

All four are held as work product, which means three things follow automatically:
- They are erased when the person who entered them signs out, and the product warns before doing it and offers a copy first. A learner’s own progress is not touched by this — it belongs to them rather than to the browser, and is waiting when they sign back in.
- They are never included in a backup, so they cannot travel to another machine in a file an administrator moves.
- They can be erased on demand, at any time, from My Progress → Clear work product on this device.
The Case File Generator is restricted to the HR role by default, because it produces a formal personnel document naming a colleague. An administrator has to grant it deliberately for anyone else.
What leaves this device
Nothing. Hospital IQ makes no requests to any other computer while you use it. There is no analytics, no telemetry, no error reporting, no licence check, and no font or script loaded from anyone else's server — every part of the product is included in what your organisation installed.
That is a claim you should not have to take on trust, and you do not have to:
- Press F12 to open your browser's developer tools.
- Choose the Network tab.
- Use Hospital IQ normally for as long as you like.
Every request you see will be to the address Hospital IQ is installed at, for a file that makes up the product. There will be nothing else, because there is nothing else. Disconnecting the machine from the internet entirely does not change how the product behaves.
Who can see what
- You see your own progress and your own work product.
- An administrator on that installation manages the roster and can read the administrator audit trail. The audit trail records who did what to the installation — it does not record the contents of anyone's work product, and it does not name the subject of a case file.
- We see nothing. Not by policy — by construction. There is no server, no account held by us, and no channel over which anything could reach us.
How long it is kept
Until it is deleted, and several ordinary actions delete it:
- Signing out erases all work product from the browser. The person’s own progress is kept and is there when they sign back in; somebody else signing in on the same machine gets their own record and cannot see it. The roster, the audit trail and the installation’s settings stay too, because they belong to the organisation rather than to any one person.
- Clear work product on this device, in My Progress, erases work product immediately without signing out.
- An administrator can archive or permanently delete a user.
- Clearing the browser's site data removes everything, irreversibly.
Backups
An administrator can download a backup of the installation. It contains the roster — including names, email addresses, roles and hashed passwords — the audit trail, the attendance record and everyone's progress. It does not contain work product.
That file should be handled as a personnel record: stored where your organisation keeps personnel records, not on a shared drive, and not emailed. The product says so at the point of download, and the file itself carries the same warning.
What Hospital IQ does not do
- It sets no cookies.
- It runs no analytics and no tracking of any kind.
- It builds no profile of you and makes no automated decision about you.
- It shares nothing with anyone, because it transmits nothing.
- It ships with no accounts. The first administrator is created on the machine, by the person who will own it.
Questions
Your own organisation holds this installation and its data, so questions about the information in it — access, correction, retention, or a privacy complaint — go to your organisation's privacy office in the first instance. They are the ones who can answer, because they are the ones who have it.
